Why This Checklist Follows UK Workplace Law
This isn't just best practice — it reflects real statutory duties on employers:
- The Health and Safety at Work etc. Act 1974, section 2, places a general duty on employers to ensure a safe working environment, so far as reasonably practicable.
- Regulation 9 of the Workplace (Health, Safety and Welfare) Regulations 1992 requires every workplace and its furniture and fittings to be kept "sufficiently clean", with waste not left to accumulate.
- Regulation 12 of the same Regulations requires floors to be "suitable, in good condition and free from obstructions" — see HSE flooring guidance.
- The Control of Substances Hazardous to Health Regulations 2002 (COSHH) require exposure to cleaning chemicals to be prevented or adequately controlled — relevant to any contractor using industrial-strength products on your site.
1. Workstations & Open-Plan Desks
Desks are among the highest germ-density areas in any office building. Daily cleaning should cover:
- Sanitising desktop surfaces, computer mice, keyboards, and desk phones
- Wiping monitor bezels, desk lamps, and cable trays
- Dusting under desk areas and computer towers
- Emptying desk side waste paper bins and lining with fresh bags
2. Washrooms & Restrooms
Restroom hygiene directly impacts employee satisfaction. Daily washroom scope includes:
- Scrubbing and disinfecting toilets, urinals, seats, and flush handles
- Cleaning and polishing washbasins, taps, and vanity mirrors
- Mopping floors with anti-bacterial disinfectant
- Replenishing soap dispensers, hand towels, and toilet rolls
Klean Touch follows the British Institute of Cleaning Science (BICSc) colour-coding system — a golden rule of always working from the cleanest area to the dirtiest — so washroom cloths and mops never cross into kitchens or desks.
3. Office Kitchens & Breakout Zones
Shared eating areas require rigorous hygiene to eliminate odors and food contamination:
- Wiping counter worktops, dining tables, and food preparation surfaces
- Cleaning microwave interiors and exterior appliance handles
- Scrubbing sinks, taps, and draining boards
- Emptying food waste bins and recycling containers daily
4. Reception & Meeting Rooms
First-impression spaces need attention every single day, not just before client visits:
- Polishing reception desks, glass partitions, and entrance doors
- Wiping meeting room tables, chairs, and video-conferencing equipment casings
- Vacuuming or mopping entrance matting and removing scuff marks from hard floors
- Straightening literature racks, plants, and signage
5. Floors & Carpets
Flooring takes the most footfall in the building and needs both a daily and periodic regime:
- Daily vacuuming of carpeted walkways and communal areas
- Daily mopping of hard floors in kitchens, washrooms, and entrances
- Weekly edge-cleaning and spot-treatment of carpet stains
- Quarterly deep carpet extraction and hard-floor buffing to prevent long-term wear
HSE guidance on slips in the cleaning industry recommends cleaning wet-mopped areas during quiet hours, using warning signage, and leaving smooth floors dry before reopening them to foot traffic.
6. IT Equipment & Server Rooms
IT hardware needs cleaning without the risk that comes from careless handling:
- Dusting monitors, printers, and shared IT equipment with anti-static cloths only
- No liquid cleaning products used near servers, switches, or open cabling
- Server and comms rooms cleaned only by name-briefed staff, or excluded from scope entirely if your IT policy requires it
7. Waste & Recycling
- Daily emptying of all general waste, recycling, and confidential shredding bins
- Correct segregation of paper, plastics, and food waste per your building's recycling scheme
- Liners replaced every collection, not reused until visibly full
Daily vs. Weekly vs. Monthly: What Should Happen When
| Frequency | Typical Tasks |
|---|---|
| Daily | Desks, washrooms, kitchens, bins, high-touch points, entrance floors |
| Weekly | Carpet edge-cleaning, glass partition polishing, skirting boards, radiator dusting |
| Monthly / Quarterly | Carpet extraction, high-level dusting, window cleaning, deep kitchen degreasing |
